Scenario In order to process a complete accounts payables process within
financial accounting you will take on different roles within the GBI
company. You will be working in the Finance Account (FI) department.

Before you can post the account payables invoice, master data has to be maintained. Within the
Case Study you will create necessary accounts within the General Ledger and create the vendor.
Afterwards you will post the invoice and verify the changes on your accounts.
Since the posting is relevant to P&L-Statement you will review the impact on your Financial
Statement in the end.

In this case study we will create the master data that is involved in an
accounts payable process and pay our rental fee as an example. We start by
creating a bank account for outgoing payments to our vendor.

maintained for customers, vendors etc. Direct manual posting to the

Learning Objective: Understand and perform a financial accounting
process.

Motivation: After you have successfully worked through the Financial Accounting case study,
you should be able to solve the following task on your own.
Scenario: The financial accounting system has now been tested without any errors. Therefore,
the corporate management has decided to convert the system into the production operation. As a
first order/request you should pay the new tool supplier Burgmeister Zubehör OHG. In order to
do that, you will create the cost element tool expenses. Subsequently, you will receive an invoice
for more than 3000€ from Burgmeister Zubehör OHG which has to be settled. You will review
the impact on the financial statement at the end.
While you are operating in company code Germany use 10###6 as the number for the bank
account, 11###6 for the reconciliation account, 75###6 for the expense account and 75###6 as
the cost element.
Task Information Since this task is based on the Financial Accounting case study you can use it
as guidance. However, it is recommended that you solve it without any help in order to test your

Task Use the SAP Easy Access Menu to review a listing of the General
Ledger (G/L) accounts that are part of your chart of accounts. For each G/L
account, the chart of accounts contains the account number, the account
name, and additional technical information.

A chart of accounts may be shared by many company codes. Each company
code must be assigned a chart of accounts. Once a chart of accounts is
assigned to a company code, it becomes the operative chart of accounts for
that company code and it is used to capture information for both Financial
Accounting (FI) and Cost Accounting (CO).
Other possible charts of accounts may be required to capture additional
information to support international business accounting purposes including:

Country-specific charts of accounts – This is structured in accordance
with legal requirements of a specific country.

Group chart of accounts – This is structured in accordance with
requirements pertaining to consolidated financial statements.

maintain several bank accounts (e.g. payroll, general checking and money
market) that are listed on their balance sheet.

FI 3: Review Reconciliation Account
Exercise Review how Reconciliation Accounts work

Task Use the SAP Easy Access Menu to display a posting done to an
Account Receivables account. After viewing the posting in this subsidiary
ledger review the corresponding posting in the General Ledger.

When you post items to a subsidiary ledger, the SAP system automatically
posts the same data to the general ledger at the same time. Each subsidiary
ledger has one or more reconciliation accounts in the general ledger. These
reconciliation accounts ensure that the balance of G/L accounts is always
zero. This means that you can draw up financial statements at any time
without having to transfer totals from the subledgers to the general ledger.
To do this, follow the menu path:

SAP Reflection Report Guidelines
The purpose of the SAP reflection report is to facilitate reflections on SAP exercise and case
study activities to maximize the learning outcomes for each business process (i.e., sales and
distribution, materials management, production planning and execution, financial accounting,
etc…).
Reflection reports will be graded based on the following criteria:
 Presence of required elements
 Communication effectiveness (clear, well-written, professional, etc.)
 Quality of content
 Degree of detail and specificity in observations
 Evidence of insight and lesson learned
Required elements:
The report should be based on your most recent exercise and case study activities and is an
individual report. The report should be completed in 2-3 pages (double line spaced) in essay
format, and contain the following information:
1. A brief description of the business process (i.e. sales and distribution, materials management,
production planning and execution etc.…) that you just completed (what did you do and what
this business process is for in an organization?)
2. What did you think went well? (Strengths)
3. What didn’t go well? How could you improve for the future exercise and case study
activity? (Weaknesses)
4. What would be your role (position title) in the organization for that activity? List any
possible roles.
5. List at least three things you learned during this activity (i.e. What business strategy you
learned from this activity?). (Outcomes)
